Products
Open it from Stock → Products, or g then p. The list shows every product with its class, its price, what is on the shelf and, for medicines, whether it is matched to the FDA register. Search by name, SKU or barcode.
Adding a product
New product opens the form. What it asks for:
| Field | What it is for |
|---|---|
| Name | As it will read on the ticket and the receipt, for example Paracetamol 500mg tablets x10. |
| Generic name, Brand | Searchable at the till; the generic is what the FDA register is searched by. |
| SKU | The shop's own short code. Also searchable. |
| Barcode | What the scanner reads. One product per barcode. |
| Unit | What one is: pack, sachet, bottle. Shown on the ticket. |
| Category | For the shelf and the reports. |
| Class | Class C, or general goods (non-medicine). Class A and B cannot be chosen in an OTCMS. |
| Selling price (GH₵) | Per unit. |
| Reorder level | When the shelf falls to this, the product appears under Below reorder on the dashboard. |
| On sale | Untick to take a product off the till without deleting it. |
| FDA register entry | For a medicine, its entry on the FDA Ghana register. See below. |
Products are never deleted. One that is no longer stocked is taken off sale so that the sales it appears in still make sense.
The FDA register entry
Start typing the medicine's name in FDA register entry and pick it from the register. The form fills in the generic name and the class from the register's record, and the product carries the FDA product number from then on.
The form warns, without stopping you, when:
- the product is a medicine and has no entry on the register;
- the entry's registration has expired;
- the register says the product is prescription-only or pharmacist-initiated, which an OTCMS may not sell.
The FDA register explains where the data comes from and what the warnings mean.
A product's page
Click a row to open the product. The page shows its details, the FDA entry with its status, and every batch on the shelf: batch number, expiry, quantity on hand and status. From a batch you can quarantine it, release it, adjust it or, once quarantined, dispose of it. See Expiry and quarantine and Disposals.
Edit changes the product's details. Changing its class is recorded on the audit trail as an event of its own.
Closing the day
One button at the end of the day generates the figures and sends them to the owner by text and by e-mail. The week and the month follow on their own.
The FDA register
The FDA Ghana public register of licensed drug products is built in. What it is, how a product is matched to it, and what the warnings mean.
