What SecureOps is
SecureOps runs an OTCMS, an Over-the-Counter Medicine Seller licensed by the Pharmacy Council of Ghana. It does the four things such a shop has to do every day and keeps the record the law asks for while it does them:
- Sell. A till for a medicine counter: scan or pick, take cash, mobile money or card, print a receipt on the 80 mm roll.
- Keep stock. Every pack traced to the delivery it came in with, its batch number and its expiry date. Expiring stock, quarantine and FDA-witnessed disposal are screens, not a notebook.
- Stay licensed. The licence and its expiry on every screen, reminders for the renewal and for anything else the shop must do by a date, and a block on the medicine classes an OTCMS may not sell.
- Keep the record. Every sale, every movement of stock and every action by every user, on a trail nobody can edit. The owner gets the day's figures by text and by e-mail when the day is closed.
Who it is for
A shop with one PC, a few people and a real licence. Each person signs in with their own account and sees only the screens their role allows, so a sales clerk sees the till and the shelf, an inventory clerk sees the shelf and the deliveries, and the owner sees everything. How it runs
The whole system installs on the shop's own PC. Its browser is the till, and phones or tablets on the shop's Wi-Fi open the same screens. The internet connection is for updates and for a copy of the backup, not for selling. The shop PC covers the install.
The first hour
Sign in as the owner
The owner's login was set when the PC was installed. Everything else starts from that account. See Signing in.
Record the shop and its licence
Under Comply → Compliance, enter the shop's name, address and contact details, then record the licence the Pharmacy Council issued: its number, who issued it, and when it expires. Until a licence is on record, every sale carries a warning. See The licence and the shop.
Add the people
Under Manage → Users, create an account for each person who will sign in and give them a role. Nobody shares a password. See Users and roles.
Build the catalogue
Under Stock → Products, add what the shop sells. For a medicine, pick its entry on the FDA register so the product carries the Authority's number and class. See Products.
Receive the first delivery
Under Stock → Purchases, enter the delivery with its batch numbers and expiry dates. That puts the stock on the shelf. See Purchases and deliveries.
Sell
Under Sell → Till, scan or pick, take the money, print the receipt. See The till.
