Disposals

Unwholesome medicine goes through the FDA. Quarantine first, then record the disposal with its application reference, then the certificate of destruction.

Expired, damaged or recalled medicine may not go in the bin. Under the Public Health Act and the FDA's guideline on the safe disposal of unwholesome products, the holder applies to the FDA, an officer verifies the consignment, it is destroyed under supervision, and the FDA issues a certificate of destruction. The holder must keep a register of unwholesome products and keep them apart and labelled meanwhile.

The steps

Quarantine the batch

From the product's page or from Expiry and quarantine, quarantine the batch with a reason. A quarantined batch cannot be sold and cannot be disposed of until it has been quarantined; that is the segregation step. Put the stock aside and label it.

Apply to the FDA

Write to the Authority with the product list: description, quantity, unit cost, total value, reason and batch. The Quarantined list gives you those figures. Pay the fee and wait for the reference.

Record the disposal

On the batch, Dispose. The form takes the FDA application reference, the method of destruction, the reason (expired, damaged, recalled or other), the quantity, who witnessed it (the FDA officer, EPA, and any others present) and notes. The batch's stock leaves the ledger as a disposal movement.

Record the certificate

When the FDA's certificate of destruction arrives, open the disposal under Stock → Expiry and quarantine → Disposals and Record certificate with its reference. The disposal is complete.

The disposals list

Every disposal, with its batch, quantity, reason, application reference, who witnessed it, and whether its certificate is on record. A disposal without a certificate is waiting on the FDA, and stays visible until it is closed. The dashboard's Needs attention panel does not nag about it, since the wait is the Authority's, but the list is where an inspector will look.

Only the practitioner and the owner can dispose of stock. An inventory clerk can quarantine and count; disposal of medicine is a regulated act that the licence holder answers for.
