A till built for a medicine counter

Scan a barcode or tap a quick key, take cash, mobile money or card, and hand over a receipt that carries the shop's licence number and the batch each item came from. A class the shop may not sell is refused before the sale, not found by an inspector afterwards.
  • Quick keys learnt from the ledger
The month's fastest sellers sit above the search, so the things the shop sells all day need no typing.
  • Change in figures you can read across the counter
The total and the change are set large, and a keypad appears on a touch screen.
  • Receipts on the 80 mm roll
Shop, licence number, sale number, who sold it, every line with its batch. The same on screen and on paper.

Every pack traced to its batch and its expiry

A delivery is received into batches with their expiry dates; a sale takes from the batch that expires first. Expiring stock, quarantine and FDA-witnessed disposal are screens, not a notebook. Every medicine can be matched to its entry on the FDA Ghana register.
  • The FDA register, built in
All 7,356 licensed drug products, searchable from the product form. A product matched to its entry carries the Authority's number and class.
  • Expiry and quarantine in view
What expires within ninety days, what is held back from sale, and what it is worth at cost, on the dashboard every morning.
  • Disposal with its paper trail
The FDA application reference at the time of disposal and the certificate of destruction once it arrives, on one register.

The licence, the reminders and the record, kept for you

The licence is on every screen. Reminders are raised for the renewal and for expiring batches, and anything else the shop must do by a date. Every action goes on an audit trail that nobody can edit. At the end of the day, the owner gets the figures by text and by e-mail.
  • The owner's figures, every day
Takings, sales and voids, what was paid how, the margin, the top sellers and who sold what, sent when the day is closed and rolled up every week and month.
  • An audit trail that cannot be edited
Who did what, to what, and why, from the first login. Append-only by the database itself.
  • Roles that fit a small shop
Owner, licensed practitioner, sales clerk, inventory clerk and auditor, each seeing only the doors they may open.

Built for the shop

Made for one PC, a slow connection and a real licence

Most medicine shops have one computer and an internet connection that comes and goes. SecureOps is built around that, and around the rules an OTCMS trades under.
Runs on the shop's own PC
The whole system installs on one Windows or Linux PC. The till works with the internet down; the connection is for updates and a copy of the backup.
Phones on the shop Wi-Fi
Open it on a phone or tablet on the same network and add it to the home screen. It installs like an app and fits a phone screen.
Class C only, enforced
An OTCMS may sell Class C medicines and general goods. The server refuses Class A and B on every path, not just on the screen.
Ghana's money and messages
Cedis, mobile money and card at the till; text messages through Hubtel; the FDA register as reference data.
Reports and exports
Sales, purchases, movements and stock as tables and as CSV files for the accountant or the inspector.
A backup every night
The database is dumped nightly and a copy goes to a USB drive or a folder off the PC. Restoring is one command.
